Introduction

The iQ PCT Staff Absence & Relocation Manager system for pandemic resource planning is a unique secure system which can be operated during a Pandemic (or indeed other PCT-Wide Emergency Situations) which enables real-time PCT Staff Absence & Attendance to be quickly, easily and accurately recorded and updated.

A comprehensive suite of pre-formatted and user-defined reports, designed to accommodate PCT's own reporting structure, subsequently provide analyses of staffing resource availability and absence on demand and also on a weekly forecast basis, so that clinical management decisions can be made and recorded for Temporary Staff Relocation to meet individual service requirements.


Overview

The system comprises the following modules:

  • Import ESR Data – import the latest ESR data file which provides the detailed staffing information used throughout the system.
  • Change Report Format – incorporates the default Grouping required by each PCT and the facility to delete and add Sub-Groups as well as being able to reassign any element to any Sub-Group.
  • Specify Staff Numbers – enables PCTs to specify the minimum number of staff required for each Department to operate effectively – the criteria upon which clinical management decisions will be made for Temporary Staff Relocation to meet individual service requirements.
  • Record Staff Absence – enables PCTs to quickly and accurately record real-time Staff Absence and Attendance during a Pandemic.
  • Reports – provides access to the default suite of pre-formatted reports specified by the PCT. An 'Advanced Options' facility enables an extensive suite of additional, 'user-defined 'reports to be produced. These are supplemented by a series of Real-Time Absence Summary reports for 'today' and forecast for the next 6 days, providing details of all staff absent by one of 10 different absence reasons, plus a summary of each member of staff who has been temporarily relocated.
  • Admin – comprises 4 elements, enabling each PCT to:
    • Create, edit and delete Users of the System,
    • Allocate an appropriate User Permission Level to each User
    • Generate Usernames and Passwords either automatically or manually
    • View a log of all changes made within the Administration Module
  • Anomalies – automatically identifies and reports any anomalies within the imported ESR Report, so that feedback can be provided to the relevant PCT Department responsible for ensuring the accuracy and completeness of the ESR Data, so these anomalies can be rectified.
  • Comprehensive Hints & Tips and Data Entry Procedure Guidance are incorporated within each Module.

All reports can be exported to Microsoft Excel at the click of a button, so that they can be easily distributed, saved to file or even analysed further, if required.

The iQ PCT Staff Absence & Relocation Manager is now being implemented by NHS County Durham and NHS Darlington and discussions are being held with several other PCTs who see the critical need for such a system during the Pandemic as it escalates during the Autumn / Winter period.
